Job Summary
To provide effective and on time clerical and day to day administrative support for managers, employees and coordinate all daily administrative activities, effectively supporting delivery of the overall objectives of the service area. To provide data analysis, system administration updates, reporting, call handling, written preparation and communication support.
Key Deliverables
• Be the first point of contact for enquires and/or queries
• Ownership of administration, communication and system support for the team or function
• Effective support of data gathering in a timely manner
• Maintain data within internal systems accurately, effectively and timely to ensure they are fit for the teams use
• Support on ad-hoc projects as and when requested
Responsibilities
Support the team, department or manage with all aspects of administration including but not limited to:
• Drafting written documents and/or contractual documents in a consistent timely manner
• Utilising internal systems such as Excel and SharePoint to maintain and update all trackers for document and data management
• Action administrative requests in a timely and effective manner
• Effectively chase for missing documentation or data to support the processing of information for the team and communicate and escalate where required
• Support, coordinate and provide administrative resource for audits within the team, function or business
• Action data/administrative system approvals as and where required
• Respond to emails and telephone calls quickly and professionally
• Collaboration with other areas to effectively delivery administration support, i.e. finance, commercial, procurement, HR, any other designated departments as and where required.
• Assist with the roll out of projects and supporting documentation
• Upload documents and maintain document control and systems
• Attend meetings and calls as required
• Manage your activities to meet deadlines and quality standards taking account of impact outside area of responsibility
• Provide travel booking support for the team and arrange meetings as required
• Provide admin and co-ordination support to Line Managers in the delivery of people and performance management programmes
Qualifications / Skill Requirements
• Computer literate, competent in Microsoft Office tools including Word, Excel and other systems
• Demonstrable administrative service delivery
• Expert oral and written communications skills
• Previous experienced at preparing data reports, presentations, and written documentation
• Eye for detail and data accuracy
