Lead Document Controller

Morson Talent are currently looking for a Lead Document Controller for a new nuclear project in East Anglia.

This is a contract role until the end of 2024 but likely to be extended.

Job Purpose / Overview
The Lead Document Controller within the Project Delivery Organisation (PDO) is responsible for ensuring nuclear industry and major project best practice in documented information and records are defined and deployed across their Document Control teams projects and contracts within the SZC Delivery organisation. They will ensure that the documented information and records management arrangements and requirements are clearly communicated for effective deployment by the projects and their supply chains. They will support the Document Control & Information Manager, Head of Function and PDO Quality Director in discharging their Licence Conditions compliance owner and manager duties.

As the project/contract/supplier focal point for implementation of SZC’s document strategy, the position requires an individual who is comfortable as the visible champion for document management and who will positively support the drive for documents right first time within Multi-Disciplinary Teams (MDT), including implementation of lessons learned from the Hinkley Point C (HPC) project.

They will work in close collaboration with the SZC project Multi-Disciplinary Teams (MDT), other project functions and the supply chain to ensure that documents are delivered consistently (safely, efficiently and right first time) compliant with the nuclear site licence requirements and industry best practice.

Contextual Information
The position is within the Quality department of the Delivery directorate. This department develops and maintains policies, strategies, standards, procedures and best practice in quality delivery and focuses on providing oversight of SZC’s activities and effectiveness.

Working with the PDO Quality Delivery, Quality Management, Records Function & Pressure Compliance teams and reporting to the Document Control & Information Manager the individual manages a team of multiple

Document Controllers being the main contact on the topic of documented information for their assigned projects/contracts/suppliers. The position requires the implementation of the documents strategy and associated arrangements to manage and facilitate records delivery to ensure project and supplier records are delivered in accordance with SZC integrated management system (IMS) and project/contract requirements.

The role requires working closely with the external supply chain, project MDTs and existing Document Control and Information Management and Information Technology (IT) teams including alignment and operation of the SZC Electronic Document and Records Management System (EDRMS) currently ‘Teamcenter’.

The role can be based within the London office or SZC office, but may require visits to supplier’s premises and the HPC offices to complete duties.

Principal Accountabilities
• Maintain, issue and distribute controlled copies of information, keeping up-to-date records of all information and ensuring that it is available to the Project Team.
• Provision of advice and information to ensure team members are compliant with the document management system process and procedures and best practice is incorporated.
• Liaison with a variety of stakeholders including the Project Team, Contractors and Suppliers with respect to issue of information and document storage.
• Carry out conformance checks on document and drawings with regards to status and format in accordance with procedures.
• Assist Project Managers in maintaining a compliant and organised document filing structure in both hard copy and electronic format.
• Support to Project Managers in preparing documentation at close out of projects and documentation for archive in either hard copy or electronic format as required
• Identify, capture and implement document management lessons learned from the HPC Project team and other industry experience for incorporation into the project development phases

Knowledge, Skills, Qualifications, Experience

Knowledge & Skills
Essential
• The ideal candidate would have Lead Document Controller experience or similiar ideally within a project environment dealing with engineering data and use of an Electronic Document Management System to maintain documents and records.
• Competence with Adobe Acrobat is desirable along with the Microsoft suite of applications (Word, Excel, PowerPoint, Visio and Outlook). Experience of working within a technical / engineering environment would also be beneficial.
• The candidate should possess a high level of organisational skills, have the ability to prioritise workload and work under pressure.
• Working as a team player and being self-motivated is essential to the role, who recognises how their position impacts and influences others.
• The individual should have a good understanding of electronic file types and the requirement for accurate document referencing.
• Must have major project records / document and data/information management experience
• Strong organisational and management skills
• Act as a strong advocate for best practice, able to support and defend practical deployment and solutions, whilst remaining open to the ideas of others
• The ability to build effective relationships with internal and external stakeholders

Desirable
• ‘Teamcenter’ EDRMS experience would be advantageous
• Knowledge & understanding of the nuclear industry/Nuclear Site License conditions.

Qualifications & Experience
Essential
• Experience of interfacing with project teams and with supply chain organisations
• Experience of implementation and management of records / document and data/information management methodologies and tools within a major project environment
• Understanding and application of the Quality process applicable to Document Management.

Desirable
• Experience in the application of ISO9001/19443, ISO14001, ISO 45001 and GSR2 standard in a multidisciplinary project environment.
• Large-scale infrastructure project experience
• Previous experience of working in a highly regulated environment
• Previous experience within the nuclear industry.
