Materials Administrator

JOB PURPOSE:

To support the Materials/Inventory department with the necessary activities to achieve efficient ordering and receipt of material flow and making sure we minimise any risk to the day-to-day operations due to shortages, new product set up or any other reason to impact BAU.

PRINCIPAL TASKS OF JOB / CORE RESPONSIBILITIES:

• Assisting key account managers with all information relating to supply of parts from subsequent OEM and 3rd party suppliers.
• Ordering of parts for all OEM’s and 3rd party suppliers, including uploads of invoices.
• Use of OEM sites specific to brands, ordering and confirming of orders, plus stock takes where required.
• Working with other departments daily, covering quality, spec of product, stock levels, availability, future part options etc.
• Cover RMA of parts when required due to aged, faulty, quality etc.
• Resolve errors on orders placed – P/O, qty, alternative part etc.
• Getting parts list and setting up parts on GRS stock control for NPI on all OEM’s
• Update and maintain stock system. (including chasing GRS Support)
• Daily supply of reports – Outstanding orders, Pre advice of shipments, Awaiting Parts, Aged report, Stock in Days.
• Proactively adopt best practice to enhance the Business and reduce costs.
• Pro-active development of own specialist knowledge and skills undertaking necessary self-development activities and identifying development needs.
• To be aware of the Health & Safety requirements, in accordance with guidelines as set out in the Health & Safety manual.
• Ensure compliance of Ingram Micro policies and procedures.
• To have a flexible approach to work.
• To attend training courses as and where necessary to ensure personal and team job skills keep pace with legislative and business developments.

The above is not an exhaustive list of duties and you will be expected to perform different tasks as necessitated by your changing role within the organisation and the overall business objectives of the organisation.

• Ensure relevant stock availability at all times taking into account lead times
• Ensure all reports are sent correctly and on time
• Cover for other team members as and when required
• Ensure stock system updated and maintained
• Adherence to policies and procedures
• Effectiveness of communications within the business.

You will receive full training and guidance / support from our experienced team.

Skills:

* Verbal and written communication skills
* Confidence in Microsoft systems - word and excel
* A high level of accuracy and attention to detail
